Who we are
The Meeting Room is a meeting assistant for companies, based in Dubai, United Arab Emirates. It records meetings with everyone's permission, writes them down, and helps the team prepare notes, proposals and follow-ups. Companies sign up with us and give their own staff access. In this policy, "we" means The Meeting Room. Contact: timataha0@gmail.com.
For the meetings and client details a company keeps in The Meeting Room, that company decides what is recorded and kept; we store and process it for them. Questions about a specific meeting should go to the company that held it.
What we collect
- Account details: name, work email, company name and role, and your password (stored only as a secure hash).
- Meeting content: audio recorded during meetings, the written transcript, AI notes, summaries, proposals, follow-up emails and files your team adds.
- Client and booking details your team enters, such as a client's name, company, email and meeting times.
- Call guests: the name a guest types when joining a call link, and a record that they agreed to recording (time and language).
- Usage: how many AI minutes your company uses each month, and basic technical logs needed to keep the service secure and working.
We do not sell personal data and we do not use it for advertising.
Microphone and camera
- The app uses the microphone only while you record a meeting or join a call, and the camera only during video calls. Your browser asks for permission first.
- Before recording, everyone in the meeting is asked to agree. Guests joining by link must tick their agreement before they can join.
How we use it
- To run the service: sign-in, recording, writing down meetings, recognising different speakers, preparing notes and proposals, calls and booking reminders.
- To send emails your team asks for (invitations, reminders, follow-ups, password resets).
- To keep the service secure, prevent misuse and fix problems.
Service providers
We work with carefully chosen service providers to run The Meeting Room. They handle data only on our instructions and only to provide the service, may process it outside the UAE, and are bound by security and confidentiality commitments. Your meetings are never used to train AI models.
How long we keep it
Meetings and files are kept until the company deletes them or closes its account. When a company account is closed, its data is deleted within 30 days, except where the law requires us to keep something longer.
Your choices
- Delete your account yourself: open Settings (on a phone, tap Me), then Delete my account. You are removed from your company and signed out; your company keeps the meetings it owns.
- To see, correct or delete other personal data, ask your company's admin, or write to us at timataha0@gmail.com. We reply within 30 days.
Security
Connections are encrypted (HTTPS). Each company can only see its own data. Sign-ins expire automatically, and access to stored data is restricted and protected.
Children
The Meeting Room is a business service for people aged 18 and over. It is not meant for children.
Changes
If we change this policy, we update the date at the top of this page and, for important changes, tell company admins.
